Move and Copy a Candidate to a Different Opening

If a candidate is associated with the wrong opening or should continue the hiring process under a different position, you can move them to another opening.

Moving a candidate transfers their existing candidate profile to the new opening. After the move, the candidate is no longer associated with the previous opening. Users who have access to the new opening can view the candidate, and users who previously had access to the candidate will continue to have access.

Move a Candidate

  1. From the left navigation menu, select Candidates.
  2. Open the candidate's profile from the candidates list.

  3. Click the More (three-dot) menu in the upper-right corner and select Move to a different opening.

  4. Choose the destination Opening.

  5. Select the hiring Stage where the candidate should enter the new opening.
  6. Click Move Candidate to complete the transfer.

Move Multiple Candidates

You can move multiple candidates to another opening at the same time.

  1. Navigate to Candidates.
  2. Select the checkbox next to each candidate you want to move.

  3. Click More and select Move to a different opening.

  4. Choose the destination Opening and Stage.
  5. Click Assign Candidate.

What Happens When You Move a Candidate?

When a candidate is moved:

  • The existing candidate profile is transferred to the new opening.
  • The candidate is removed from the previous opening.
  • The candidate retains a single profile.
  • Access to the candidate updates based on the new opening while preserving access for users who previously had permission to view the candidate.

Copying a Candidate

This option creates a separate candidate profile in the selected opening. The original candidate remains in the current opening, allowing both hiring processes to continue independently.

To copy a candidate:

  1. From the left navigation menu, select Candidates.
  2. Open the candidate's profile.

  3. Click the More (three-dot) menu in the upper-right corner and select Copy to a different opening.

  4. Choose the destination Opening.
  5. Select the hiring Stage.
  6. Click Copy Candidate.

  7. Review the confirmation message and select OK, go ahead.

  8. After the copy is complete, choose either:
    • Stay on this page, or
    • Go to copied candidate.

What Information Is Copied?

When you copy a candidate:

The following information is copied:

  • Candidate profile information

The following information is not copied:

  • Interview information
  • Internal notes
  • Candidate messages

The copied profile functions independently from the original profile. Changes made to one profile do not affect the other.

Duplicate Detection

Because the original and copied profiles share the same email address, Trakstar Hire identifies them as potential duplicates.

After copying a candidate:

  • A red duplicate indicator appears next to the candidate's name.
  • Select the duplicate indicator to view all profiles with the matching email address.

Best Practices

  • Move candidates when they were assigned to the wrong opening or should continue under a different requisition.
  • Select the appropriate hiring stage so the candidate enters the new opening at the correct point in the hiring process.
  • Verify user access after moving candidates between openings with different hiring teams.
  • Copy candidates when they are being considered for more than one opening.
  • Remember that interview history, notes, and candidate messages are not copied.
  • Review duplicate indicators to distinguish intentional copies from accidental duplicate records.
  • Keep each copied profile updated independently throughout its hiring process.
