Can candidates answer questions via video responses?

Yes! Candidates can submit video responses as part of a Questionnaire. Video response questions allow candidates to either record a video directly in their browser or upload an existing video file.

Create a Questionnaire

Note: Only Super Admins can create Questionnaires. Once a Questionnaire has been created, it is available for all users to send to candidates.

To create a Questionnaire:

1. Click the Settings gear in the lower-left corner of Trakstar Hire (or click your profile initials in the upper-right corner).
2. Under Candidates Configuration, select Questionnaires.

3. Review your existing Questionnaires or click Create Questionnaire.

4. Enter a title and description for the Questionnaire, then click Create.

5. Add the questions you want candidates to answer.

Questionnaires support multiple question/answer types, including:

Note - you can limit character length, or make questions private, too!

• You can create as many questions as you'd like

When you add a Video Response question, candidates can:

• Record a video directly in their browser.
• Upload an existing video as their response.

Note: If you do not see the Video Response option, your current subscription does not include this feature. Contact Trakstar to discuss upgrading your plan.

Send a Questionnaire to a Candidate

Questionnaires are sent through Candidate Emails.

To send a Questionnaire:

1. You can Reply to a candidate email or start a new one.
2. Click the Questionnaire icon at the bottom of the message window.
3. Select the Questionnaire you want to send.

4. Verify that the Questionnaire appears in the message.
5. Send the message.

The candidate will receive an email containing a link to complete the Questionnaire.

What Candidates See

After opening the Questionnaire link, candidates can complete each question.

• Candidates will then follow the link to fill out the Questionnaire

If the Questionnaire includes a Video Response question, candidates can either:

• Record their response directly in their browser.
• Upload a video file as their response.

View Completed Questionnaire Responses

Once a candidate submits a Questionnaire:

• A blue dot appears next to the candidate's name, indicating new activity.
• The completed Questionnaire is available in the candidate's Profile tab, above the resume.
• Click Show answers to review the candidate's responses, including any submitted videos.

Why Is the Questionnaire Icon Grayed Out?

If the Questionnaire icon is unavailable while composing a candidate message, the Questionnaire feature is not included in your current plan.

When Should You Use Questionnaires?

Questionnaires are most effective after you've completed your initial application review.

Rather than asking every applicant extensive screening questions during the application process, you can:

• Keep the initial application concise.
• Narrow your candidate pool.
• Send follow-up Questionnaires only to candidates you want to evaluate further.

Questionnaires support a variety of question types, making them a flexible way to gather additional information—including video responses—from selected candidates.
