Candidate End States Report

Overview

The Candidate End States Report helps you understand why candidates leave your hiring process and where they exit your hiring pipeline. By analyzing end-state reasons and the stages where candidates are decisioned, you can identify trends, improve hiring efficiency, and refine your recruiting strategy.


Why Use This Report?

Understanding why candidates reach end states can help you maintain a healthy hiring pipeline.

A well-performing hiring process typically has:

  • Most candidate rejections occurring early in the hiring process, before significant interview time is invested.
  • Candidate Withdrawn and Declined Offer decisions occurring later in the hiring process.
  • Clear decision reasons that help identify opportunities to improve job descriptions, sourcing strategies, and the overall candidate experience.

Before You Begin

Before using this report, verify that your organization has configured End State Reasons.

A Super Admin can manage these by navigating to:

Settings → Candidates Configuration → Reasons for Candidate Decision

These configurable reasons are used throughout the report to categorize why candidates reached each end state.


Access the Report

To open the Candidate End States Report:

  1. Click the Reports icon in the left navigation menu.

  2. From the Reporting Dashboard, select Candidate End States.



Filter the Report

Begin by selecting the end state (decision status) you want to analyze, such as:

  • Rejected
  • Withdrawn
  • Archived
  • Declined Offer

To narrow the results further:

  1. Click Add Filter.

  2. Apply one or more filters, such as specific openings or other available report criteria.

You can combine multiple filters to focus on the data most relevant to your analysis.


Decision Reasons View

The Reject Reasons view shows why candidates entered the selected end state.

For each job opening, the report displays:

  • The percentage of candidates assigned to each decision reason.
  • The raw number of candidates for each decision reason.

Click any blue value in the report to open a side panel showing the specific candidates associated with that decision reason.


Reject Rate at Stages View

Select the Reject Rate at Stages tab to understand where candidates are exiting your hiring process.

This view shows the rate of candidate decisions at each hiring stage, helping you determine whether candidates are being screened out at the appropriate points in your workflow.

In many hiring processes, higher rejection rates in the early stages indicate a more efficient pipeline because less time is spent interviewing candidates who are not the right fit.


Export the Report

You can export report data to Excel for additional analysis.

Separate Download as Excel options are available for:

  • The report overview
  • Individual candidate drill-down views after selecting a decision reason

Additional Reporting Options

If you need a list of candidates in a specific end state:

  • Use Advanced Search to filter candidates by decision status (such as Hired, Rejected, or Withdrawn) and decision reason.
  • The Candidates Excel Report also includes Current Candidate Status, Decision Reason, and Reason Description fields for further reporting and analysis.
