Best Practices for Hiring & Onboarding in a Digital World

As more organizations embrace remote and hybrid work, hiring and onboarding employees in a digital environment has become increasingly common. While it can be challenging to recruit and welcome employees you've never met in person, Trakstar Hire includes features that can help streamline the process.

Tip: If you're using Trakstar Learn, you can import new hires directly from Trakstar Hire. For more information, see the article about importing hires into Trakstar Learn.

If you're looking for a general onboarding checklist, refer to the New Hire Onboarding Guide.

Write an effective remote job description

A clear job description helps candidates understand your expectations before they apply.

When creating a remote opening, consider including the following information:

  • Use a descriptive job title.
  • Clearly define what remote means for the position (fully remote, hybrid, or another arrangement).
  • Explain what equipment the employee will need and whether your organization will provide it.
  • Be transparent about work schedules, availability requirements, and time zone expectations.

Remote-friendly features in Trakstar Hire

Trakstar Hire includes several features that support remote recruiting and onboarding.

Configure the opening location

When creating a remote opening, we generally recommend setting the opening's location to your primary office location using the Google location selection or your company's configured work address.

This helps communicate your organization's primary location to candidates and is required if you want the opening to be automatically syndicated to supported free job boards.

If you're only posting the opening on your own careers page or sharing it manually, you can instead enter a location such as Remote or Work from Anywhere so that it appears in the job posting.

In either case, select Allows remote work to identify the opening as remote-friendly. This information is displayed on your hosted careers site and the opening details page.

Post to remote job boards

Create trackable links when sharing openings on remote-focused job boards, such as:

  • We Work Remotely
  • Working Nomads

This allows you to measure which sources are generating candidates.

Use questionnaires for remote screening

Questionnaires provide an additional way to evaluate candidates before scheduling interviews.

Video questionnaires can also be used as an alternative to an initial phone screening, allowing candidates to respond on their own schedule.

Simplify interview scheduling

Connect your Google Calendar or Outlook Calendar with Trakstar Hire to enable calendar synchronization.

Once your calendar is connected, you can use Self-Scheduling to send candidates a selection of available interview times, allowing them to choose the option that works best for their schedule.
